Using AI to Improve Meeting Quality

I’m your host, Victor Menasce, and on today’s show, we’ll be exploring some simple AI automations that could save you time and enhance the quality of your systems within your business.
Today, we focus on the use of digital notetakers in meetings. These silent attendees may either be a part of a Zoom or a team meeting, and they note everything you say. These notetakers, apart from taking notes, can offer some crucial data for any function you perform. They can even attend meetings on your behalf, allowing you to catch up on what was discussed, even if you could not attend in person. But utilizing these notetakers is more than just listening to the content of a meeting; it can save you time and effort moving forward. So let’s break down a few major categories within functions here.

If you’re not using a note taker, Fireflies is one of the most straightforward and useful ones that we recommend. Other options include Otter and many more. However, if you’re not using one, consider getting Fireflies. It’s free to start, and there’s a paid version for about $10 a month.
Automated Meeting Analysis and Insights
One of the greatest benefits of AI note takers is that it can provide crucial insights into the meeting. It all starts with measuring who is speaking and how much time each speaker takes up during the meeting. For example, if you wish to speak no more than 30% of the time, the AI tool can offer the data to confirm whether you’ve met your target.
Further, the AI tool can also pull out items from your conversation that you might have overlooked, even if you were taking your own manual notes. Again, in the case of Firefly, a tool called the Ask Fred Insight Generator built within Firefly can do just this. It reveals insights from the meeting, like project types potential customers may be interested in.
Automation and CRM Integration
Firefly also allows for automation. For example, you can link Firefly to your Customer Relationship Management (CRM) tool. In our organization, we use Pipedrive, and it saves the notes from your conversation in the correct contact for you. This can make note-taking in meetings hands-free, saving all meeting records straight into Pipedrive.
Connection with Your Task Management Tool
To take it a step further, you can align your AI Notetaker with your Task Management Tool, whether it’s Asana, Clickup, Taskmanager, or Todoist. This setup scrapes the meeting data and translates to-do list items directly into your task management tool.
So, the action question for you is, what processes do you need to speed up, or do you have the potential to gain leverage because you’re repeatedly stuck in the middle of that process? Scrutinize those functions that you’re responsible for that need to go faster and could benefit from more significant insight. Apply the AI notetaker to that problem, and the more data you create for yourself, the more insight you can gain.
